POSITION TITLE: Registration Clerk

POSITION LOCATION:  Yakutat Community Health Center (YCHC)


PAY RATE: $21.74 Per Hour (Depending on Experience)


POSITION SUMMARY: The work of the Registration Clerk requires excellent organizational and customer service skills. This position is responsible for greeting and welcoming patients, answering the phone, scheduling appointments, collecting patient information and insurance documents and entering data using the electronic health records (EHR) system. Cross training between the Business Office and Patient Services is required in order to maintain quality services in the event an employee is absent. This position requires compliance with Health Center’s compliance standards, including its Standards of Conduct, Compliance Program, and policies and procedures. Such compliance will be an element considered as part of the Registration Clerk’s regular performance evaluation. This 1.0 FTE is funded under IHS.

Duties and Responsibilities:

  1. Assure the readiness of the reception area for each working day; opens the building at the designated time and have all front desk activities fully operational at the start of business hours. Maintains patient waiting areas, water dispenser, office files, and front-desk areas in a manner that is organized and neat.
  2. Welcomes and greets patients/clients/visitors to the health center in a manner that is helpful and friendly; determines purpose of visit and direct patients/clients/visitors to appropriate person.
  3. Responds to emergencies in a calm manner and adjusts schedule as needed to accommodate emergency patients.
  4. Exercises diplomacy and tact to provide excellent customer service for patients; practices confidentiality and privacy protocols in accordance to health center policies and HIPAA requirements.
  5. Respects and maintains privacy and dignity of patients; assures patient confidentiality at all times.


  1. Assists patients or family members with completion of pre-registration forms.
  2. Schedules appointment reminders in the electronic health record (EHR) to send out automated appointment reminders.
  3. When checking in patients, reviews the medical record for needed documentation such as ID, CIB, insurance, etc. and reminds the patient to bring to their next appointment. Updates and corrects errors on demographic and insurance information in the patient’s electronic health record.
  4. Must exercise utmost diplomacy and tact to provide excellent customer service for patients; practices confidentiality and privacy protocols in accordance to Clinic policies and HIPAA requirements.
  5. Refers all patient billing questions, concerns and/or requests for payment arrangements to the Business Office Manager.
  6. Assist uninsured in applying for alternative resources such as Medicaid, Medicare, Denali kid care, etc.
  7. Adheres to health center policies on safety and security; maintains restricted areas safe by safeguarding access of secure areas and computer system passwords in strict confidentiality
  8. Secures the building at the close of each working day; turn off appliances and machines including Xerox and coffee pot, and lock all entrances of the front entrance, office and chart room.
  9. Performs all duties in support of successful EHR/EPM implementation. Assists in pulling data needed for UDS reports as assigned.
  10. Performs other reasonably related tasks or duties as may be required or assigned.
  11. When short staffed, the Registration Clerk may be required to fill in for absent staff and assume additional duties on a temporary basis. Such duties may include picking up and delivering, mail and labs; logging and distributing incoming and outgoing mail; maintaining the postage meter with adequate funding, scheduling patient appointments for specialty clinics for local and off-site appointments, etc.



  1. Understands the importance of maintaining confidentiality; able to maintain confidentiality under HIPAA standards. Possess the ability to respect and maintain privacy and dignity of patients: assures patient confidentiality at all times.
  2. Must have the ability to exercise a high degree of diplomacy and tact; excellent customer services and interpersonal communication skills; Cultural sensitivity and demonstrated ability to work with diverse people groups.
  3. Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel as needed.
  4. Intermediate to advanced phone skills; able to effectively relate via the telephone and in-person to serve the needs of Clinic patients/clients/visitors in a manner that is efficient and productive.
  5. Requires good grooming, and dress habits which reflect a professional image.
  6. Must be highly flexible; able to accommodate changing needs of the department.
  7. Ability to work well under pressure with minimal supervision. Proven flexibility and willingness to handle a variety of tasks.
  8. Basic to intermediate computer knowledge and skills of the EHR/EPM systems.

Training and/or experience with computer data entry.

  1. Valid Alaska Driver’s License.
  2. Ability to accept travel assignments as required to perform duties.


  1. Graduation from high school or equivalent plus six months of medical receptionist experience in comparable health care setting.
  2. Prior administrative or clerical experience in clinical or community-based setting highly preferred
